Ministry Support Specialist (PT), Our Lady of Good Voyage Shrine, Seaport, Boston, MA
The Ministry Support Specialist provides essential administrative and operational support to ensure the smooth functioning of ministry programs and services. This role assists with client/parishioner support, office operations, communication, volunteer coordination, and ministry logistics. The Ministry Support Specialist serves as a welcoming, compassionate presence and supports the mission and values of the Catholic Church in all interactions. The position is on-site at the Shrine in the Seaport of Boston, part time, up to 18 hours per week.
Essential Duties and Responsibilities Ministry & Client Support
Serve as the first point of contact for individuals seeking assistance, information, or ministry services.
Provide compassionate, respectful support to callers and visitors, ensuring a welcoming environment.
Assist in intake, scheduling, and follow-up for ministry-related appointments, programs, or services.
Help coordinate referrals to internal ministries, parishes, or external service agencies as appropriate.
Maintain a strong understanding of available ministry resources, diocesan programs, and community partners.
Administrative & Operational Support
Provide daily administrative support including phones, email communication, scheduling, record-keeping, and data entry.
Maintain accurate client, program, and ministry records with strict confidentiality.
Assist with preparing materials, reports, forms, and ministry documents.
Track inventory of ministry materials, office supplies, and program resources; notify management when supplies are low.
Support the smooth operation of the office by maintaining organized files, workspaces, and communication channels.
Program & Event Coordination
Assist in planning and coordinating ministry events, workshops, trainings, and meetings.
Communicate with volunteers, attendees, parishes, and service partners as needed.
Provide on-site support during ministry programs, including setup, sign-in, hospitality, and general assistance.
Communication & Outreach
Draft and distribute ministry communications including emails, announcements, and informational materials.
Maintain updated listings of ministry resources, community services, and referral networks.
Represent the ministry in a positive, pastoral, and professional manner always.
Other Duties
Read, understand, and follow all ministry and Archdiocesan guidelines and confidentiality standards.
Perform additional tasks assigned by the office administrator
Digital Communications & Content Creation Manages routine updates across the organization’s digital platforms, including posting to social media, updating website content, writing bulletins and preparing announcements. Uses AI tools and Microsoft Copilot to draft, edit, and format materials such as flyers, graphics, and short communications while maintaining the organization’s voice and standards.
Office & Technology Proficiency Demonstrates strong proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook) and general office software. Comfortable learning new digital tools, managing shared files, and supporting administrative workflows that rely on cloud-based platforms and collaborative technologies.

Experience in ministry, social services, community outreach, or administrative support preferred.
